Day-Of Coordination

 A perfect option for clients that want to plan their event, but wants a professional coordinator available to answer questions, offer advice, and coordinate all details day-of.

Currently booking 2024. 2025 available to book 1 year prior to your date.

 
 

Includes:

  • Planning services include: Wedding Day

  • Complimentary consultation

  • Vendor recommendations and day-of point-of-contact

  • Design recommendations and proofing of printed materials

  • Logistics management, checklist, timeline, and event order

  • 1 year and 6 month check in plus accessibility via in-person meetings, email, and phone

  • Final check-in 2 months prior, attendance at final vendor meetings, and vendor handoff (becoming new point-of-contact)

  • Set up and tear down day-of (decor provided by Client and/or vendor and tables/chairs provided by and set up/torn by the venue)

  • Day-of production, execution of event timeline, and point-of-contact

Wedding Day

  • Produce all wedding day logistics (unlimited time but an average of 16 hours)

  • Point-of-contact for vendors, wedding party/family, and guests

  • Assisting the family, wedding party, and guests as needed 

  • Available to pickup dessert in the morning 

  • Set up and tear down day-of (decor provided by Client and/or vendor and tables/chairs provided by and set up/torn down by the venue)

  • Oversee deliveries and set up of vendor items (decor, floral, entertainment)

  • Setup of wedding accessories such as guest book, place cards, family photos, etc. 

  • Execute event timeline to ensure everything is running on schedule 

  • Seamlessly deals with unforeseen circumstances

  • Pinning of boutonnieres and ensuring VIP’s receive flowers 

  • Distribute final payments and gratuities/gifts to vendors 

  • Welcome guests and assist in directing them to ceremony and reception spaces

  • Line up and cue wedding party/family for ceremony processional as well as cue DJ and ceremony musicians 

  • Coordination of grand entrance, cake cutting, speeches, specialty dances, bouquet/garter toss, and any additional activities

  • Work with caterer to confirm food timing and logistics

  • Replenishing of appetizers, desserts, and late night snack

  • Ensure transportation arrives on time and is running on schedule. Also gives the final go ahead to leave at the end of the evening.

  • Pack up client provided decor at the end of the night and transfers everything to a secure vehicle

  • Tear down of vendor decor

Post Wedding

  • Follow up with venue for security deposit

  • Any final follow up with vendors

  • Return rented vendor decor

  • Deliver donated florals to hope blooms 

Add Ons:

  • Welcome Bag assembly and delivery $250

  • Rehearsal the day prior $250

  • Rehearsal dinner or welcome party coordination and attendance $500

  • Day after brunch or farewell coordination and attendance $500

Additional Travel Fees (if 30 miles outside of Fargo/Moorhead)

  • Current IRS mileage rate 

  • Current IRS meal + incidental expenses rate

  • Hotel accommodations

  • Airplane tickets and rental car
